Governor evidence pack checklist for UK school inspection readiness

Ofsted inspection — whether a section 5 full inspection, a section 8 monitoring visit, or an unannounced short inspection — involves scrutiny of governance. Inspectors review what is published on the school website, request documents during the pre- inspection day, and interview governors directly. A well-maintained governor evidence pack is not just useful for inspection: it is the practical output of sound governance.

What DfE requires schools to publish about governance

DfE statutory guidance requires English schools to publish specific governance information on their website. This covers both the current governing body and all governors who have served during the past 12 months, even where they have since left the board.

Names of all governors and trustees

Includes all who served in the last 12 months, even if no longer in post.

Governor roles and committee membership

Chair, vice-chair, committee chairs, and the role of each governor.

Appointment dates and terms of office

Start date, end date, and appointing body for each governor.

Register of business interests

All business, financial, and pecuniary interests — including nil returns.

Governor attendance record

Number of meetings attended vs number held, for the most recent full academic year.

Governance structure

How the governing body is organised — full board, committees, and remits.

Trust or federation membership

For academies: the trust name and a link to the trust website.

The broader governor evidence pack

Website publication is the publicly visible layer. The deeper governor evidence pack covers documents that Ofsted may request during the inspection — documents that should be held securely and produced on request, not necessarily published publicly.

Documents to hold for inspection

Full board minutes (redacted where appropriate)
Committee minutes (finance, standards, etc.)
Register of attendance at meetings
Register of business interests (signed declarations)
Skills audit outcomes
Governor appraisal records
Induction and training records
Scheme of delegation (academies)
Strategy and priorities document
Risk register reviewed by board
Budget approval record
Headteacher performance management records

The website publication gap

Many schools that maintain excellent internal governance records have a visible gap on their websites. Governor names may be listed without appointment dates; the register of business interests may not be present at all; attendance records may be buried in minutes rather than presented clearly.

The Edvance free website readiness checker checks your school website specifically for governance publication items. It reports what was found, where it was found, and what may be missing — giving you a clear starting point for improving governance visibility before your next inspection.

From evidence pack to tracked workflow

Edvance helps schools build and maintain governance evidence — combining website publication status, policy review records, governor approval logs, and inspection- ready documentation in a single workspace. The free website check is the first step.
